Learn to Automate Your Processing Using Zapier at QuickBooks Connect!
Words cannot express how excited I am to be teaching four sessions at QuickBooks® Connect (QBC) this November! I’ll be speaking about QuickBooks Self-Employed, creating the tax practice of your dreams and how to use Zapier to automate your processes.
My session on Zapier is the techiest of my topics, and is likely a new and interesting topic for QBC attendees. You may have heard about Zapier and how businesses are using it to fully automate processes by creating “Zaps” that sync data between their cloud-based applications, or maybe Zapier is brand new to you. Either way, my session will introduce you to Zapier, show you how it works, and the methodology of building seamless integrations between apps that either don’t have a direct integration to each other or whose integration doesn’t provide the solution you need to automate the process.
Zapier is a connector app that you can use to send data from one cloud-based app to another. There are over 750 apps that you can connect using Zapier, including popular apps such as Gmail, Slack, DropBox and, of course, QuickBooks Online (QBO). The Zapier platform provides an easy-to-use dashboard where you can build “Zaps,” which are Zapier speak for saying an automated workflow that exists between your connected apps. Each Zap starts with a Trigger –an event that happens in one app and is completed with an Action – which is what we tell Zapier to do with the data from the Trigger event. For example, I can create a Zap that saves all my Gmail attachments to Sharefile. In this example, the Trigger occurs when I receive an email with an attachment and the Action is to save the attachment to a specific folder in my Sharefile account.
We’ll create five “Zaps” during our session, using apps you may already use in your practice, such as Gmail, QBO, Sharefile and WordPress. We’ll explore how Zapier can be the answer when a direct integration doesn’t sync the information you need or want, and how you can use Zapier tools to filter and format data automatically before it is synced. You’ll even learn how to sync data simultaneously to more than one app in a single Zap workflow. Learn best practices and strategies for analyzing a workflow, mapping the flow of data, and creating Zaps that will automate processes for both you and your clients. I’m excited to share two Zaps I use in my practice to automate my vendor onboarding and how I sync Google Calendar events to Trello to create my “to-do” lists.
Zapier is my “go-to” tool when I think about automating processes, and I’m excited to share how I’ve used it to streamline my own internal processes, as well as my client consulting engagements.
