Accountant’s guide to using QuickBooks AI features

We know you have opinions about QuickBooks. Some of us are right-side menu people; others couldn't imagine the nav bar anywhere but the left. And right now, the Intuit platform is going through even bigger changes thanks to a new AI experience.

AI agents can now complete work for you, handling day-to-day tasks on your behalf like sending invoices, tracking payments, reconciling transactions, and even streamlining your clients' business growth leads. The agents work together holistically, deepening the bench of interconnected teammates working for you and your clients.

This is the most significant update to QuickBooks in more than 10 years, and we know that with change can come uncertainty. We’re committed to helping you understand the new experience, manage updates to your workflows, and guide clients through it all. Here, you’ll find resources related to various parts of QuickBooks on the Intuit platform, including all of the new AI agents at your disposal.

What's changed and why

QuickBooks has introduced a virtual team of Intuit AI agents to simplify the day-to-day by working together behind the scenes on your behalf. The core reason for this shift is to combine human expertise with powerful AI to drive efficiency, collaboration, and growth. These AI agents act as co-pilots, handling tedious tasks like categorizing transactions, reconciling books, and managing payments. A new user interface, enhanced collaboration tools like in-app chat, and a new business feed and Customer Hub are all part of this integrated, AI-powered platform. 

The new team of AI agents frees up time to provide higher-level advice to your clients and give your firm and their businesses a competitive advantage.

Most recent updates

Customizable Accountant toolbox

You can now customize your Accountant toolbox, which has been renamed My Menu. It’s located at the top of the left side navigation bar and provides a customizable menu, so your most-used pages, actions, and tools are easier to access right up front.

Client Opt-in/Opt-out

You'll temporarily be able to opt your clients in or out of the new user interface at the individual client level (in your client books), or opt all your clients in or out at the bulk client level. If now isn’t the best time to introduce change, you can opt out your clients temporarily. By the end of September, any client you’ve opted out will automatically be opted back into the new experience.

To bulk in/opt your clients:

  • In QuickBooks Online Accountant, go to Settings via the gear icon.
  • Click on Choose Client Version.

Help with bank feeds and Accounting Agent

The QuickBooks Bank Feed has been redesigned to be more powerful and intuitive, with features like inline editing, more accurate AI categorization suggestions with transparent explanations, and the ability to upload and extract transactions from PDF or image bank statements.

The Accounting Agent is a key part of this innovation, with these primary functions:

  • Ready to post: This feature helps with fast batch posting by suggesting transactions that can be posted with one click.
  • Context gathering: Enables accountants to create a to-do list for missing information and send "magic links" to clients to get details like receipts.
  • Anomaly detection: Flags significant period-over-period changes on reports to catch potential errors.
  • AI-powered reconciliation: Allows users to upload a PDF statement for a three-way match with bank feeds and transactions to identify discrepancies.

Billing and package information

QuickBooks Bill Pay Basic is now included with all QuickBooks Online subscriptions, aiming to simplify the accounts payable process. This includes invoice automation where clients can forward invoices to QuickBooks to create pre-filled bills. The subscription offers five free ACH payments per month, with options to upgrade to Bill Pay Premium or Elite for more advanced needs.

Give us your honest feedback

In response to accountant feedback, Intuit has launched a pilot feedback program for bank feeds running through September 2025. This program provides accountants with a direct channel to influence the product roadmap through a Roadmap, Feedback, and Changelog section, promoting transparency and collaboration.
