QuickBooks Workforce: An accountant’s guide to the new HCM platform

Intuit has launched QuickBooks Workforce, a Human Capital Management (HCM) platform that consolidates payroll, time tracking, benefits administration, recruiting, onboarding, performance management, and offboarding into a single environment embedded directly in QuickBooks Online, QuickBooks Online Advanced, and Intuit Enterprise Suite. Here is what you need to know about the platform, how the tiers are structured, and how QuickBooks Workforce can best serve your clients.

Why this matters for accounting firms

Most small- and mid-market businesses currently rely on a fragmented stack of tools to manage their workforce with separate systems for payroll, time tracking, HR documents, benefits enrollment, and performance reviews. Each system generates its own data, and reconciling that data across platforms creates manual work that falls, in practice, on the business owner or in certain instances, their accountant.

QuickBooks Workforce is Intuit's answer to that fragmentation. Because it sits inside the same platform as the general ledger, labor costs flow directly into the books without a separate export, import, or reconciliation step. For firms that are already managing client payroll inside QuickBooks, the practical implication is fewer data handoffs, and a single place to view and manage the full employee lifecycle alongside financial data.

QuickBooks Workforce replaces the existing QuickBooks Payroll Core, Premium, and Elite tiers. Clients currently subscribed to those plans will be automatically migrated to the corresponding Workforce tier. Here is what each tier includes:

Workforce Payroll is the entry-level tier, designed for smaller businesses with straightforward payroll needs. It covers full-service payroll with automatic payroll runs, next-day direct deposit, 1099 e-filing, basic employee records and profiles, and a self-service employee portal. Available as add-ons are health benefits, 401(k) plans through a Vestwell integration, Earned Wage Access, workers' compensation administration, and background checks powered by Checkr.

Workforce Premium is built for growing businesses with an expanding headcount. On top of everything in Workforce Payroll, it adds mobile time tracking, same-day direct deposit, expert setup review, an HR support center, and a more complete set of team management tools. These include new hire onboarding workflows, time-off request management, recruiting support, employee offboarding, and custom workflow automation.

Workforce Elite is for mid-market businesses and firms managing more complex workforce operations. It includes everything in Workforce Premium, plus geofenced and project-based time tracking, payroll tax penalty protection up to $25,0001, done-for-you setup completed by an Intuit expert, a personal HR advisor powered by Mineral, and a full performance management module covering structured reviews, goal setting, and continuous feedback cycles.

Key capabilities that change workforce operations

Payroll and time tracking

The payroll engine remains the core of the platform. Time and payroll data sync automatically with accounting data, so hours worked, wages paid, and payroll taxes are reflected in the books without manual entry. An AI-assisted Payroll Agent is available in beta that collects and validates time data, flags inconsistencies before a run, and can execute payroll on behalf of the business owner. Intuit reports that customers using the automated workflow save close to four hours per week in administrative time, on average.

Time off policies are configurable by type—vacation, sick leave, bereavement, custom categories—with accrual rules, balance caps, and carryover settings all adjustable per policy. Employees request time off through the Workforce mobile app, managers approve with a single action, and approved hours sync to payroll without a separate entry step.

Onboarding and offboarding

The onboarding workflow covers the full sequence, from offer letter to active employee. Firms and employers can post job listings, track applicants, generate and send offer letters, and manage all onboarding steps from a single interface. I-9s and W-4s are completed digitally by the employee. Background checks run directly from the employee profile through Checkr, without leaving the platform.

Offboarding follows a parallel structure, with configurable checklists that coordinate the steps required when an employee departs.

Benefits administration

Benefits enrollment and management are handled through a centralized hub that supports medical, dental, vision, and life insurance. Employees access a self-service portal to enroll during open enrollment and update coverage when a qualifying life event occurs. Plan setup and carrier management are handled by the employer or their administrator inside the same platform.

401(k) through Vestwell

The retirement plan integration with Vestwell allows employers to offer 401(k) plans that sync directly with payroll data. Contribution amounts, employer match rules, and plan administration are managed through the integration, reducing the manual coordination that typically occurs between payroll systems and retirement plan providers.

HR workflows and documents

Custom workflows can be built and assigned to automate recurring HR processes, including onboarding checklists, equipment requests, policy acknowledgments, uniform size collection, and similar tasks. Once configured, workflows trigger automatically and route to the correct employees without manual follow-up.

Document creation, e-signature collection, storage, and management are all handled inside the platform through a template builder. Signed documents, acknowledgments, and policy records are stored centrally and accessible from the employee profile.

Performance management

Available in Workforce Elite, the performance management module supports structured review cycles, goal setting, and continuous feedback. Managers can launch evaluations, track progress over time, and give employees visibility into their own development. The module is designed to support ongoing performance conversations rather than treating reviews as a once-per-year event.

What this means for your practice

For firms managing payroll on behalf of clients, the primary operational change is consolidation. If you are currently pulling time data from one system, running payroll in another, and then manually reconciling to the general ledger, that workflow is eliminated when everything runs through Workforce inside QuickBooks Online. Real time labor cost visibility and seeing how payroll affects the books as it runs rather than after the fact, changes the quality of the financial picture you can provide clients throughout the month.

For firms doing compliance work, the built-in digital collection of I-9s, W-4s, and onboarding documents, combined with background check integration, reduces the likelihood that clients will show up to an audit with missing or incomplete employee documentation. The platform does not replace the compliance judgment you bring, but it enforces process in a way that email-based onboarding does not.

On the advisory side, the total compensation visibility, including wages, benefits costs, payroll taxes, and retirement contributions—all visible by employee—, supports the kind of headcount cost analysis and workforce forecasting that clients increasingly need from their accounting partners.

Get started now: availability and migration

QuickBooks Workforce is generally available now to eligible QuickBooks Online, QuickBooks Online Advanced, and Intuit Enterprise Suite customers in the US. Existing QuickBooks Payroll subscribers are automatically upgraded to the corresponding Workforce tier based on their current plan. Clients not currently on a payroll subscription can add Workforce to their existing QuickBooks Online or Intuit Enterprise Suite subscription.
