What’s new in QuickBooks Online Advanced: Fall 2026 release

Some businesses outgrow simple accounting tools well before they’re ready for a full ERP. For accountants advising clients at this growth stage, QuickBooks Online Advanced with Intuit Intelligence is the all-in-one solution that brings together their books, payments, bill pay, payroll, industry solutions, and insights.

Intuit Intelligence1 isn't just an AI feature added on top of Advanced. It's the financial system of intelligence that powers the entire unified Intuit platform, drawing on 40 years of Intuit's accounting data, the patterns of 10 million businesses, and your clients' secure business data. It matches each financial task to the right AI, automation, or human expert, including a network of more than 650,000 accountants on the platform.

In this release, QuickBooks Online Advanced offers purpose-built workflows for job costing, project management, and inventory, with even more industry depth coming soon.2 In addition, many of the most-requested QuickBooks Desktop workflows are now live or coming soon2 in Advanced as well as Intuit Enterprise Suite, and new guided, human-led migration support for clients transitioning from Desktop to the cloud is smoother than ever.

QuickBooks Online Advanced is built for your clients’ industries

Standard accounting tools often rely on a one-size-fits-all approach. QuickBooks Online Advanced is built for how your clients actually run their businesses: Construction financials shipped in August, inventory management gets a substantial upgrade coming soon, and additional industry-specific depth for manufacturing, nonprofit, and more is coming soon².

Construction financials: See where a job—and your profit—stands at every step of the process

Your construction clients’ job costing usually lives in three places at once: a spreadsheet for the budget, separate field software for day-to-day operations, and an accounting system that finds out what actually happened days or weeks later. By the time the numbers line up, margins have already eroded.

QuickBooks Online Advanced eliminates that disconnect. Estimating, job costing, and billing run in one workflow, with budget-vs-actual and WIP visible while a job is still open, change orders that update costs and invoices together, and AIA-style progress billing⁴ tied to project milestones. The Project Management AI agent can even stand up a new project from documents your client already has, so starting a job doesn't mean a pile of setup work first. Once the job’s running, Intuit Intelligence lets you ask about it in plain language, like what’s driving a cost overrun, or how a job’s margin compares to similar ones. Answers are grounded in your client’s own project data, with tips for protecting margin on the next bid.

Accounting is only part of the job. Your clients also have crews to pay, customers who owe them money, subcontractors waiting on checks, and ongoing cash flow to manage. Advanced brings all of that into a single system.

Real-time visibility into project labor costs. Hours logged in the field flow from QuickBooks Workforce straight into job costs, so labor costs by project are visible in real time instead of after a manual reconciliation between the field and the office.3

Your clients get paid when they bill, in the same system. When an AIA-style progress invoice4 goes out and the owner pays, that payment reconciles to the books automatically. The format matters: Businesses that billed this way got paid within 30 days at a 32% higher rate than those using standard invoices.5

Funding options that bridge the cash flow gap between payroll and draws. Construction cash flow lives in the space between work performed and payment received. An eligible business can draw on a pre-approved Capital line of credit, rather than starting a fresh loan application when timing is already tight.6

QuickBooks Capital keeps financing in view without a separate application. Every fee and rate is disclosed upfront, a line of credit draws against the client’s own QuickBooks data with interest only on what they borrow, and Business Health shows what’s driving their approval odds before they ever apply.6

Built-in Bill Pay streamlines subcontractor payments. Bill Pay is embedded in QuickBooks, so it’s ready when it’s time to pay subcontractors and vendors. Pay by free standard ACH or check, with built-in approvals and automatic 1099 tracking, and e-filing as payments go out. There’s no separate subscription, no manual workarounds, and a week of year-end paperwork gets done in a few minutes.7

That’s the advantage of a unified platform: Because projects, labor, billing, financing, and payments all connect to the same books, you always know where a client’s jobs and cash position stand.

QuickBooks Desktop workflows, now in QuickBooks Online Advanced

QuickBooks Desktop earned three decades of customer trust by going deep with industry-specific workflows, granular reporting, inventory, payroll, and job costing. Now, QuickBooks Online Advanced features the biggest wave of innovation to add much of the depth that customers appreciated in Desktop, including many of the most-used and most-requested workflows by both businesses and their accountants. If you’ve hesitated to advise a client to migrate because Advanced lacked functionality, now’s the time for you and your client to take another look at QuickBooks Online Advanced.

One and a half million customers have already made the move to Online.⁹ The latest release is built for clients already on Advanced who want more of what they migrated for, and for those still on Desktop.

Payroll³ built around how crews actually get paid

Coming soon: Labor costing by service item (beta) assigns each hour to the service performed and carries that cost into your client’s payroll, job-costing, and profit and loss (P&L) reports as payroll runs. You can see which services are actually profitable without a manual reconciliation. And when a paycheck needs fixing, you can process a paycheck or tax payment for a prior pay period right in QuickBooks, with no workaround outside the system.

Payroll features depend on the client’s QuickBooks Workforce plan, so confirm what applies before you recommend a change.³

Projects that scale with complexity

Coming soon: Multi-level job hierarchies handle jobs nested inside jobs, matching how complex engagements are actually structured. Plus, the Desktop-era project reports are here too: Open Purchase Orders by Job, Item Profitability, and Job Costs by Vendor.

Invoicing the way your clients bill

Choose from multiple shipping addresses per customer right in the invoice workflow, and regroup billable expenses into a single, clearly labeled line, so your clients’ customers see one readable charge.

We basically moved to QuickBooks Online Advanced over the weekend and didn't miss a beat. By Monday, even with a company file of over 25 years, it was uploaded and up and running pretty quickly.
