Automation tips and tricks: Zapier + Kajabi

Welcome back to another article in an ongoing series about ways to save time in your practice. This tip comes from Seth David of Nerd Enterprises.

In Zapier, I use short zaps (fewer steps) to automate repeatable processes. I’ve seen people’s long (like 30 steps) zaps and think what a nightmare that will be when a step in the process breaks. If need be, the end of one zap can be the trigger for another. Keep them short and sweet so it’s easier to troubleshoot when something goes wrong.

Kajabi is the platform that my website is built on, and it has it’s own built-in automations that make it really powerful to use with Zapier. For example, my new eCommerce Accounting community is built on a Discord Server. When someone signs up for the subscription on my website, they are automatically tagged, “eCommunity” in Kajabi. Then, I have a zap that automatically assigns the role of “Member” in Discord. I’ve set up Discord so that without this role assigned, they have no access to any of the channels.

When someone cancels their subscription in Kajabi, I have another zap that removes the role of Member from that user in Discord. This is driven by their email address, so on the chance that someone is using a different email, I also have Zapier send a note to Notion letting me know that the member cancelled, so I can confirm their role was removed in Discord.
