Arti Patel Martinez, ProAdvisor Training & Certification Leader: On today's episode of In the Know, we'll be discussing the latest updates to Bill Pay and Payments.
Hey ProAdvisors, it's Arti, and you're watching In the Know, where you get exclusive access to demos of Intuit product enhancements by the leaders who built them.
Let's jump right in with Abilasha, who's going to show us more about the delegated onboarding experience for Bill Pay and Payments within Intuit Accountant Suite.
Abhilasha, welcome!
Abhilasha Vyas: Thank you, Arti. Excited to be here. This is my first time meeting this audience. So, hey, everybody. I'm Abhilasha. I'm a product manager on our FinTech team, and I've been with Intuit for about four years now. My team manages the experience, which onboards customers to QuickBooks money movement products. What I mean by that is Payments, Bill Pay, and Capital, and I am fully focused on making sure that this experience works for accountants and their clients.
For anyone not familiar with money movement or onboarding experiences, I'll give you a very brief overview. As many of you would know, QuickBooks, besides accounting, also provides money movement services, such as enabling clients to accept online invoice, send pay enable invoices to accept online payments, send ACH bill payments to their vendors, apply for a line of credit, apply for term loan, or to do direct deposit payroll for their employees. For all of these services, because we are a money transmitter, we need to make sure that we are compliant with regulations. For that, we need to collect certain merchant business and ownership information, and then run checks to make sure that the merchant can actually transact on Intuit rails. That is the user experience that my team owns, and this step is essentially necessary for you to be able to use any of the money movement services.
Coming on to what we launched, what we heard from you is that accountants actually do want to complete when they recommend it. They want to complete the setup on behalf of their clients, but then they face significant friction while signing up their clients for Payments or Bill Pay, especially because of the information that is required on the client. Sometimes there's the business EIN that needs to be entered, the accountant's social, their DOB, or their bank account information, which is not the easiest. You might not always have it, and then you're chasing behind clients on phone calls, Zoom calls, and spending weeks, and that's delaying the time where the client can actually get set up and start using the services. Also, accountants did not have any path in their software, that is Intuit Accountant Suite or QBOA [QuickBooks Online Accountant], to complete this onboarding for the clients, jumping into each client's books, hunting for access points, and setting it up.
We heard you, and what we did is that as soon as you add a new client through the Add Client flow, and select either Payments or Bill Pay with their QuickBooks Online subscription, you can now start the application immediately after checkout on behalf of your client. You can enter any amount of business, client, and bank info that you have available. Whatever you don't have, you can just invite your client to complete the remaining details, provide the consent, and then submit the application. Your client would actually receive an email from QuickBooks when you invite them, or you could just directly copy/paste a link and send it to them. However, when you're comfortable and once the application is approved, the products will be fully activated. Another change here is that this would be one unified application for both Payments and Bill Pay. If you add both of them, you will not have to go to two different applications. It'll be one, and this is going to lead to faster activation, less chasing around for you, and hopefully get the clients set up to start using the products faster.
Now, I'm going to quickly walk you through the experience. For the ones who are not familiar and who have not seen it yet, here’s what it looks like. This is recent, so this is live as of early August 2026, in both QBOA and IAS. When you add a client through the Add Client flow, and select either Bill Pay or Payments after checkout, you will be able to see the screen. If you look at the middle portion that says next step, Activate Bill Pay and Payments. This is the option that you should be seeing, which has two options available. Either you can copy paste the application link and send it directly to the client, or you can click on Start Client Application and then start filling in their details. I also have a handy Feedback button.
In case someone plans to use it or they are using it already, please tell me what you like or not like about the experience. We're going to look at everything that you send on how to make this better. Once you fill in how much ever you can, you can invite your client to collaborate. You can fill in the email address where you want to send the client invite to. You can also choose to CC yourself just to track if the client has looked at the email or not, and just follow up with them. You can type in a custom message for your client, which is going to get sent to them as a part of the email, and then invite them. Once you do invite them, they're going to get an email with your custom message and a link to finish the application. Be mindful that at this point, the clients would need a QuickBooks account. They would need to create a QuickBooks login, and they would need to be either a Company Admin or a Primary Admin on the account to view the application. They will be able to see whatever you filled out. They'll be able to review, edit, and enter any information that you might not have been able to provide, and then submit to directly see the result, and then see whether they got approved or not.
Arti Patel Martinez: Awesome! Okay, thank you so much. This may have been asked already or answered, but is this available to everyone in the US?
Abhilasha Vyas: This is available to almost a majority of the accountants in the US, but right now this is new, so it's being scaled, and very soon it should be available to everybody who is adding new clients in QuickBooks Online Accountant and Intuit Accountant Suite in the US.
Arti Patel Martinez: Wonderful! Okay, great. And then another one: Can we sign up existing clients on their behalf, or only new clients new subscriptions?
Abhilasha Vyas: Right now, this is available for new clients, but we're also working through this through this year to make this feature available to add existing clients as well.
Arti Patel Martinez: Excellent. Okay, and then one last one: When will this be available in Canada?
Abhilasha Vyas: Another great question. Right now, making sure that we are providing all the feature sets in the US and then following up with Canada.
Arti Patel Martinez: Excellent. Okay, and then I think we can say too: as new things roll out, we'll be happy to have you come back and share what's new and where.
Abhilasha Vyas: Yes, and just adding it again. If you guys think anything that can be done better, something that doesn't solve your problem, please let me know, and we'll take it into consideration.
Arti Patel Martinez: Thank you so much for that walkthrough, Abilasha. If you find this update interesting or helpful, go ahead and like, comment and subscribe. That's all we have for now. We’ll catch you next time.
